How I used my Savings Tracker today

Good evening! I got a fair amount of questions and comments the other day about the free Savings Tracker spreadsheet. I made a few transactions today and entered them to illustrate how I’m personally making use of this tool. I thought I’d share it with you to give you an idea of how it can be used to work.

JanSavingEx

First, I made my line item entries just below the orange bar in “January Spending & Saving Details.” For each receipt, “Shelf Cost” is what I would’ve paid had the store offered no discount and had I presented no coupons. To keep things simple, I include tax since I figure either way, I’m paying it.

Coupons are both store and manufacturer coupons. Important note here: this is how I’m accounting for Register Rewards & Catalina coupons. Why? Essentially they’re treated and redeemed as coupons. Why make it more complicated than it needs to be? You’ll notice that in the ”Comments” section I mentioned that I earned a $10 OYNO coupon during my Albertsons trip today. That’s just for me to note that I have it. So let’s say I redeem it tomorrow on a $20 transaction. That line entry will include it as $10 in “coupons.” I would treat this the same for Walgreens Register Rewards. In the end, your overall savings is still correctly reflected in your “Savings Rate” in the At-a-Glance section.

You’ll also note that on my Rite Aid transaction, I have a $2 rebate. I should now be sure to enter the rebate into Rite Aid’s system. Additionally, I could note it on the “Rebate Tracker” of the spreadsheet if I care to track when I submitted it and when I received it.

Rebates are a tricky business and I like to keep my tally both before and after rebate. If you notice in the “January At-a-Glance” section, my “Amount Paid” includes my rebate savings. In the right-hand column there’s also an “Amount Paid” figure that excludes rebates. Here’s another important note: the variance figure is calculating your budget less amount paid that includes rebates.

Finally, sometimes I’ll have trips that may not necessarily include sales or coupons – I’m still counting them! Today I purchased some spice and bulk items at Winco. You’ll notice the shelf cost is also the cost I paid. I’m not overly concerned about calculating what I would’ve spent had I purchased spice bottles and not in bulk; I’m more concerned about coming in under my $300/monthly budget. That is the most important figure on the spreadsheet for me – even more so than savings rate.

I hope those that are using this tool are enjoying it! I hope you also take the time to make it your own. I understand everyone’s brain works different, so feel free to tweak formulas, shift columns, or add your own notes to make it work for you. Throughout 2010, my goal will be to do a better job of tracking my savings and spending and share those results with you.

Best wishes for 2010!

I use an Open Office spreadsheet, but do exactly the same thing! I only count my RRs and ECBs when I redeem them (and yes as coupons used). I find this the simplest way.

Thank you, thank you, thank you!! Excel scares me to death, so I’ve been doing my budget and expense tracking with a pencil and a notebook for the last year. But with your help, I’ve moved to Excel in 2010 and I think I might like it and be able to do it. :-) I even wrote a post on my blog about it today and linked it back to your page for any of my friends who might be like me. :-) Thanks so much for your work and Happy New Year!

Could you put up a picture of your Rite Aid receipt, as this is still confusing for me about how you do this spreadsheet with the rebates and all? Thanks! Great job on the spreadsheet! I was using another one, but I think I am going to like yours better! :-)

Hmmm, my summary page seems to not be adding up the shelf cost. It seems to have picked the amount of my second (shelf cost) entry and that is all that is included. It says I am saving 4,700% or something and sadly, I am not! Ha! Maybe I’m just putting something in wrong.

Denise, are you SURE you’re not saving 4,700? Just kidding! Sounds like something’s up. I will make a point to double-check my formulas in the next couple days to make sure everything’s correct. Anyone else have this problem?

Oh I sure wish I was saving that much. Ha and so does my accountant husband! Thanks for checking. I am a newbie to the Extreme Couponing world and have only a very basic knowledge of Excel, so it surely could be Operator Error. So far, I am having a ball. Who knew you could get downright giddy from getting toilet paper on the cheap!?

My total shelf cost went to all ###### ,is it because the total shelf cost went over 1,000?
It seems like it doesn’t add anything over 1,000.

Anne, that sounds like a simple problem to correct. You just need to expand the column to see all the numbers. ;) The figures all go to #### when there simply is not enough space for all the digits to appear. If you’re stuck on how to do this, ask someone that’s familiar with Excel to show you or try using the “HELP” function. I HTH!!

Angela, did you ever get a chance to check your formulas? I am seeing only one entry for January on Shelf Cost and I just realized the My Cost section is only showing one entry also, however, not the same one entry as the Shelf Cost! I just went in and manually entered the amounts through today, but I’d love to figure out what might be the problem. Sorry to bother you. Maybe it is just something I did since nobody else seems to be having a problem. I had the same problem as Anne but I managed to fix that one by accident!
Thanks!

Hi again! I got curious and I went in and downloaded the other version and replaced the formulas that weren’t working with the other versions formula. I think it worked. I may be using the wrong version. I have to ask DH what version we have! Sheesh. Whoda thunk clipping coupons would require so much mental muscle?

Love the tracker. Thanks for sharing it! Please tell me how I can track what rebates I have received.

Denise, I only briefly checked mine and it looked correct. Can you email me? This has been an INSANELY nutty week for me. thecouponproject at hotmail dot com.

In the meantime if you know anyone that has knowledge of Excel, you might just ask them. It’s likely a simple fix…

Either way, feel free to email me so I don’t forget.

Denise, ok now I see your second comment!! Glad you seem to have fixed it. Please email me if the problem creeps up again.

Shannon, there is a rebate tracker sheet on the spreadsheet – you may have to scroll to the left to see it. It’s called “Rebate Tracker”

Wow! Thank you so much! This is EXACTLY what I’ve been hoping to find! I love it-thank you so much!!! I’m spending the day inputting all my past receipts! One question, if you have time. Can you tell me how I should input a Target Gift Card I earn… I guess both when I earn it, and when I use it? Thank you so much for this excellent spreadsheet!

arussell May 9, 2010 at 2:01 am

I would only input it once – otherwise it’s doing to look like you’ve saved double. I personally would treat it as a coupon, entering it in the coupon savings field when you go to redeem it. You could also make a note in the comment field once you’ve earned it.

I’m so glad to find this…it’s a great spreadsheet. My only question is how do you deal with tax? Do you add it to the shelf life to get it to come out correctly? Thanks a bunch.

arussell June 9, 2010 at 2:55 am

I roll it into shelf cost.

I love this spreadsheet, and my husband loves me keeping better track of our money!! =) I do have a question though. When I go to my summary page it is subtracting my discounts from my coupons to give me my total savings. Does that make sense? Shouldn’t it be adding them together? Now that I look at it closer my shelf price and my coupon price are the exact same, that isn’t right. Do I just need to manually enter everything into the summary page?

arussell June 12, 2010 at 6:22 am

Drats…I hope there isn’t yet another error here. I seriously went through those formulas so close! If you see the error, best bet is to adjust the formula as you see fit as opposed to manually entering.

LOVING the tracker!!!! The breakdown was so easy & clear. Love seeing how much I’ve saved via coupons, via store savings, etc. And I LOVE easily seeing where I’m at in my budget. It’s SUPER helpful!!!

Thanks for a fabulous tool – even more thanks to you since you gave it freely to all of us! :)
